Program Administrator Role
At Little Stars, our mission is to support young people who have experienced abuse and neglect by helping them engage in learning positively, build confidence, and develop self-esteem through one-on-one in-home education support. Our Little Stars Learners program model is the only one of its kind, standing out with its focus on one-on-one tailored education support to address the cognitive, social, emotional, and behavioural challenges these young people face. We believe that connection and consistency are key to the success of our program.
We are seeking a full-time Program Administrator to join our team immediately. In this vital role, you will support and report directly to the Program Manager, assisting with the smooth operation of the Little Stars Learners Program. This involves assisting with the scheduling and management of our Learning Support Mentors and overseeing the relationship and progress of each student throughout the program.
Key Responsibilities:
- Support the Program Manager in tasks related to program administration and management.
- Assist with scheduling and managing education support mentors and their sessions to ensure effective support for young people in care.
- Provide support and guidance to education support mentors, addressing any issues or concerns related to program activities and session delivery.
- Monitor the performance of education support mentors, including attendance and progress reports, and provide educational resources as needed.
- Collaborate with stakeholders, including foster and kinship carers, child safety departments, and foster agencies, to align with program goals for each student.
- Foster positive relationships with foster carer families to promote retention in the program.
- Assist with processing new applications for students and manage the onboarding process using document management systems and custom databases.
- Ensure compliance by managing blue cards for program staff and volunteers.
- Maintain organised online filing systems for all program-related records, prepare correspondence, and assist with invoicing and payment follow-up using Xero.
- Respond promptly to phone calls and emails, ensuring efficient record-keeping and timely resolution of inquiries.
Skills Required:
- Ability to work effectively as both a team player and independently, with a high level of initiative.
- Exceptional communication and interpersonal skills, capable of building relationships at all organisational levels.
- High level of empathy and the ability to ensure education support mentors are framing student behaviours in a trauma-informed way.
- Strong administrative background, ideally with experience in program administration or as an executive assistant.
- Proficiency in Excel and custom databases, with a strong aptitude for learning new technologies.
- Excellent organisational skills, attention to detail, and accuracy in data management.
- Eligibility for a Queensland Working with Children Check.
Working Conditions:
- Full-time position based in the Brisbane office at Newstead.
- Work hours: 8:30 am – 5:00 pm.
- Key busy period from August to March; annual leave is not available during this time except for the scheduled Christmas closure.

We urgently need Casual Learning Support Mentors for up to 6 hours per week. We are looking for Learning Support Mentors in Brisbane, Ipswich, Logan & The Gold Coast!
Hours will vary depending on student allocation, usual span of hours are between 3:30pm – 7:00pm Monday to Friday. Commitment required is for a minimum of 12 months.

The Role Requirements:
- Commit to one-on-one weekly in-home education sessions with your assigned children.
- Commit for the full school year, 4 terms.
- Participate in ongoing weekly feedback, catch-up calls, and support from your manager.
- Commit for the remainder of the year with the opportunity for your role to extend into 2025.
- Prior experience working with children and as a mentor/tutor is advantageous but not essential.
- Possess a valid driver’s license and have access to your own vehicle.
- Hold a current paid Blue Card or be willing to obtain (we can assist you with the application process).
- Must have availability after-school hours Monday to Friday from 3.30pm onwards.
Skills You’ll Have:
- Currently studying at university.
- Competence in Maths and English.
- Ability to work with neurodivergent children with patience and empathy.
- Empathetic and understanding nature.
- Ability to build positive relationships with children and their carers.
- Excellent communication skills.
- Ability to work independently and take initiative in planning and delivering one-on-one sessions with your students.
- Studying psychology or education preferred but not necessary.
- At least 2 positive references.
